Retail Returns in Ghana: Plan Collection Without Losing Track of Stock

A returned item is still stock that someone must identify, transport and inspect. For Ghanaian retailers, a clear returns process can prevent a simple exchange from becoming a missing carton or an unresolved payment. Reverse logistics means planning that journey back as carefully as the original delivery.

Build a practical returns collection process for Ghana retailers: authorise returns, label stock, document condition and arrange a clear cargo pickup.

Give every return a reference

Start with the order reference, item description, quantity, collection address and reason for return. Confirm who has approved the collection and who pays for transport. Do not send a driver to collect an unspecified 'wrong item' without a way to identify it.

Create a simple return reference and place it on the outer packaging without displaying unnecessary customer details. Record the original delivery reference internally. If several shops are returning similar cartons to a Tema warehouse, this link prevents one branch's stock being credited to another.

Inspect the packaging before pickup

Ask the sender to photograph the item and its packaging, where practical and appropriate. Confirm whether accessories, cables, fittings or manuals should be included. A return containing only part of a product needs to be described accurately rather than discovered at the depot.

Agree suitable packaging before transport. A damaged carton may need replacement protection; an item with leaking contents, a damaged battery or another safety concern may need specialist handling and may not be accepted for an ordinary cargo job. Disclose the condition to the operator rather than hiding it inside a box.

Set one receiving point and one decision owner

Choose where returns will be received and who will inspect them. Keep 'received', 'under inspection', 'approved for restock' and 'refund approved' as separate decisions in your own records. The driver can deliver a carton but cannot determine whether your refund policy has been met.

Illustrative example: three Accra shops return five sealed cartons to a central warehouse. The receiver checks each return reference and quantity, records visible condition and sends the results to the stock controller. The commercial team then decides the appropriate credit. This is a suggested operating routine, not a claim of an automated CargoMov returns module.

Combine collections only when the plan is clear

Several pickups can be practical if vehicle space, packaging compatibility and collection windows align. List each stop, contact and quantity. Load in a way that protects the goods and keeps different return references identifiable. Do not add a stop after acceptance without confirming any change in scope.

For goods originally imported through Tema Port or Takoradi Port, a local return to a seller's warehouse is not automatically an export or a customs return. If the shipment will cross a border or return to a bonded facility, obtain the appropriate specialist guidance separately.

Book the physical transport through CargoMov

Describe the job as a return collection when you post cargo, including condition, packaging and destination. Use your Business account for the available booking and billing workflow, while keeping return authorisation and refund decisions in your business records.

At handover, match the collected quantities to the received quantities. The delivery-record checklist can help. Review repeated return reasons—wrong size, missing parts or damaged packaging—so transport records also help improve the original order process.

Frequently asked questions

What is reverse logistics?

It is the movement and handling of goods back from a customer or branch for inspection, repair, return, reuse or another agreed purpose.

Does a completed collection mean a refund is approved?

No. Transport completion and the seller's refund decision are separate.

Can an agent arrange a return pickup?

An agent can help describe an authorised cargo request. Confirm customer consent, item details, charges and operator acceptance before collection.
