Event Equipment Transport in Ghana: Plan the Delivery and the Return

An event delivery has two deadlines: when equipment must arrive and when it must leave. Whether you are moving sound equipment in Accra, exhibition stands in Tema or conference materials in Takoradi, plan both journeys before the event starts.

Plan sound, staging and event equipment transport in Ghana with load lists, venue access checks, return collection times and clear handover records.

Work backwards from setup time

Ask the organiser when setup must be complete, then allow for access, unloading, checking and installation. The event's start time is not the truck's arrival time. Confirm the venue contact who can open the loading gate and receive the equipment.

Check whether the venue has a separate service entrance, parking restrictions, a lift, stairs or a narrow corridor. Measure large cases and compare them with door and lift access. Send these details with the job so the driver can assess the request before submitting an offer.

Create a load list that survives the event

List each flight case, speaker, stand, lighting unit and boxed accessory by an internal reference. Record packed dimensions and weight where known. Keep cables and small parts in labelled containers so the return collection does not become a search through loose equipment.

Photograph the prepared load and note existing visible damage. For rented items, agree who checks them out and who checks them back in. Do not rely on the same crew member being present at both ends of a long event day.

Specify handling and protection

Use suitable cases, padding and securing arrangements for the equipment. Ask whether the proposed vehicle has a dry, appropriate cargo compartment. Heavy or awkward items may need a trolley, lift or specialist handling; transport booking alone does not automatically include those services.

Keep hazardous or restricted items out of an ordinary request unless their handling is explicitly accepted. Follow the equipment owner's and manufacturer's instructions. For outdoor venues, read the rainy-season cargo checklist and arrange sheltered handover where possible.

Book the return as a defined movement

Agree when teardown will finish, who packs the goods and when collection can start. Avoid a vague instruction such as 'come back after the programme'. If return transport is a separate job, record it separately; if included in one agreed scope, make the terms explicit.

Illustrative example: equipment goes from a Tema store to an Accra conference venue. The outbound load list records 14 cases. At return, the event manager checks the same 14 references and notes one damaged case before collection. The transport record can then be reconciled with the rental inventory.

Use CargoMov to organise the cargo journey

Post an event equipment request with the load list, access details, dates, handling requirements and clear return arrangements. Review suitable offers and confirm what is included before acceptance. Businesses managing repeat events can use the Business account for the available account workflow.

Do not assume the driver supplies technicians, assembles staging or operates sound equipment. Those are separate responsibilities unless explicitly arranged with a suitable provider. If equipment was imported through Tema Port or Takoradi Port, complete the relevant release arrangements before scheduling the inland event delivery.

After the return, check quantity and condition and retain the delivery record. That closes the transport task and gives the next event team a more reliable starting point.

Frequently asked questions

Does truck hire include event setup?

Not automatically. Confirm whether the scope includes only transport or any separately agreed handling. Technical setup needs the appropriate team.

Should I book the return before the event?

Yes, agree a realistic return collection plan in advance, including teardown, packing and the person responsible for handover.

What details help a driver quote?

Provide packed item dimensions and weights, vehicle needs, venue access, helpers or equipment required, dates and return arrangements.
