A weekly account-checking routine for Agents who want to know what was earned, what was paid and what still needs attention.
Choose the period and gather your records
Open the account statement option available in CargoMov Agent or the Agent web workspace. Select the relevant period where a date filter is provided. Keep the opening balance, closing balance, transaction dates, references, amounts and statuses together when reviewing the exported statement.
Gather the matching booking references and available receipts. Also keep your own expense records, because calls, data or transport to your outlet may not appear in CargoMov's account activity. If a transaction falls close to midnight, check the displayed date and timezone before treating it as missing.
Classify the transactions before adding them up
A wallet top-up is money added to the account. A customer booking payment is associated with a delivery. Earned commission is the Agent's income under the applicable rules. A withdrawal moves available funds out, while an adjustment may correct an earlier entry. These should not all be counted as sales.
For a wallet ledger, a useful check is opening balance plus credits minus debits equals closing balance, using the statement's own sign convention. Do not apply that formula blindly to a mixed report of bookings and payments: first establish which entries actually affect the balance and whether pending items are included.
Use references to investigate a difference
Suppose your notes show a payment, but the booking still says pending. Match the transaction reference, amount, job and time. A bank debit can exist before a payment is fully reconciled in the booking. Keep the evidence and ask support to investigate rather than editing your notes to make the totals fit.
For commission differences, compare the recorded booking amount and applicable commission with the earned or pending status. The commission guide explains why pending earnings, cash received and profit can differ. A refunded or adjusted job may also need a separate entry.
Download, print and share deliberately
Use the available download or print action and open the result before sending it. Check that the Agent identity, period, dates and totals are readable. A statement is useful for reviewing several transactions; a receipt supports a particular payment. Keep both when a query concerns a specific booking.
Share a statement with CargoMov Admin or an authorised adviser through an appropriate channel. Do not post the full account history into a customer group. It may contain other people's details or business-sensitive information. If only one entry is disputed, provide the relevant reference and requested supporting records.
Turn reconciliation into a short weekly routine
Set aside time to mark entries as matched, pending or needing review. Carry unresolved items into the next review with their original references rather than recording them as fresh transactions. Check that a withdrawal shown as completed agrees with the destination account record.
Keep a dated copy of the reviewed statement and document any correction. If you cannot explain a difference, contact CargoMov support with the period and references. This routine supports practical business oversight, but a platform statement does not by itself replace formal accounts or determine tax treatment.
